01Who we are

1st Area Cars is a private hire service based in Stratford-upon-Avon, run by Mark Gough as a sole trader. We are the data controller for the personal information described in this policy.

02Information we collect

When you contact us or book a journey, we may collect:

• Your name and phone number, and your email address if you give it to us
• Pick-up and drop-off addresses, dates and times
• Flight numbers and terminals, so we can monitor your flight
• Number of passengers, luggage and any special requests, such as bringing a child car seat
• Messages, call details and anything else you tell us about your journey

Card payments are processed by Dojo. We do not see or store your full card number.

When you visit this website, our hosting provider may automatically log technical information such as your IP address and browser type to keep the site secure.

We also collect anonymous statistics about how the website is used, such as which pages are viewed and how many people tap to call us. This is done without cookies, and the statistics do not identify you.

03How we use your information

We use your information to:

• Quote for and carry out your journey. We need this to provide the service you’ve asked for.
• Keep records of bookings. As a licensed private hire operator, we are required to keep booking records under the conditions of our licence.
• Answer your questions and keep you updated about your booking, for example if a flight is delayed.
• Keep the website secure and working properly.
• Improve the website using anonymous visit statistics.

We do not sell your information, and we will only send you marketing messages if you have agreed to receive them.

04Who we share it with

We only share your information where needed to run the service, with:

• Our website hosting provider, Spaceship, which stores enquiries sent through the booking form
• Our card payment provider, when you pay by card
• Stratford-on-Avon District Council, if requested under our private hire licensing conditions
• Our insurers, the police or other authorities, where we are legally required to or need to in order to deal with a claim or incident

The Google reviews on our homepage are shown using Trustindex. If you choose to open our listing on Google Maps, Google’s own privacy policy applies.

05How long we keep it

• Booking records: 6 years from the date of the journey
• Enquiries that don’t lead to a booking: deleted after 6 months
• Payment records: 6 years, as required for tax purposes

06Keeping it secure

We keep booking information on password-protected devices and accounts, and only use it for the purposes in this policy.

07Your rights

Under UK data protection law you have the right to:

• Ask for a copy of the information we hold about you
• Ask us to correct anything that is wrong
• Ask us to delete your information, unless we have to keep it by law
• Object to or ask us to limit how we use your information

To make a request, contact us using the details in section 01. We will respond within one month.

08Complaints

If you’re unhappy with how we’ve handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

09Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed.
